Project Stakeholders are those groups or individuals who are either actively involved in a project, or who may be adversely or favourably affected by project activities.

This topic applies to v3.3.2 onwards

Defining a project or portfolio's stakeholders, the reasons for their interest and the interventions required to manage their interests is a fundamental process in the Stakeholder Management process. Stakeholder's contact details and a history of what contact has been made can also be recorded within i-lign.

Stakeholders can be real-people resources already existing in i-lign, or created from an External-Stakeholder Resource type. (A resource created from an External-Resource type will not appear in the Corporate Stakeholder List until assigned as a Stakeholder to a Project or Portfolio.)

Creating a new external Stakeholder

(Can be performed by an i-lign user assigned a role that includes the necessary permissions to create a new resource.)

  • Go to Corporate > Teamspace > Resources.
  • Click New then select External-Stakeholder from the Resource type pull down list.
  • Enter the display name of the Stakeholder.
  • Complete the remaining fields as required.

Assigning a Stakeholder to a Project or Portfolio

  • Open the Project or Portfolio that you want to assign the Stakeholder to.
  • Click Stakeholders on the Project or Portfolio Menu to open the current list of assigned Stakeholders.
  • Click New.
  • In the Modify Project Stakeholders screen, select the Stakeholder you want to assign to the project from the pull-down list.
  • Enter a description of the Stakeholder's interest in the Project or Portfolio.
  • Click Save.

Manage Stakeholder Interventions

  • In the Project or Portfolio Stakeholder list, click on the underlined name of the Stakeholder to view the Stakeholder details screen. A list of all of the projects or portfolios that the Stakeholder is assigned to will be listed.
    (Each project or portfolio that you have been assigned permissions for will have a New button to the right hand side of the Interventions Panel.)
  • For the project or portfolio that you want to create the intervention for, click New.
  • Enter a description of the intervention that is required to manage the Stakeholder's interests for that project or portfolio.
  • Click Save.

Updating a Stakeholder's Contact and Address Details

(Can be performed by an i-lign user assigned a role that includes the necessary permissions to update a resource's contact and address details.)

  • Go to Corporate > Teamspace > Resources.
  • Select the resource type that the Stakeholder belongs to from the pull-down menu.
  • Find the Stakeholder resource on the list and click on the underlined name.
  • Click Contact on the Menu.
  • Create or edit a phone number or address as required. If there is more than one record for either type (e.g. Business or mobile phone), tick the Primary checkbox for the record that you want to be displayed on lists.

Replacement of Contacts feature: The Stakeholders feature replaces the ability to link project Contacts from v3.3.2 onwards. Any resources linked as Contacts at the time of a v3.3.2 upgrade are converted to stakeholders.

Setting Role Permissions

Enable the following permissions to give users the ability to view Stakeholder information within your i-lign instance at Corporate and Project levels. (To be performed by an i-lign Administrator with sufficient permissions to edit Organisation Security Roles.)

Organisation Security Roles

To view the list of all assigned Stakeholders for all projects and portfolios (Corporate > Teamspace > Stakeholders):

  • Stakeholder Corporate List : View

To view and manage a list of Stakeholders assigned to a portfolio: (Portfolios > Stakeholders):

  • Stakeholder : Manage
  • Stakeholder : View

Portfolio owners can access the list of Stakeholder for the portfolios that they own without having been assigned these permissions.

Default Project Security Roles

To view and manage the list of Stakeholders assigned for a Project:

  • Project Stakeholder : Manage
  • Project Stakeholder : View

These permissions are not added to any i-lign security roles by default and must be added for the functionality to become active. However, any security roles prior to v3.3.2 that had permission to create or modify Contacts (e.g. Contacts:Create etc) have been migrated to corresponding Stakeholder permissions.
